Donor retention is typically calculated by the number of donors in a previous period divided by the number of those same donors that also gave a gift in the current period. To pull this in Altru, we will create two queries:

Step #1: Create query to find donors in previous period: 

Start your query:
  1. Navigate to Analysis, then click on Information Library 
  2. Click Add an ad-hoc query 
  3. Select the source view of Constituents and click OK
Add fields to Include records where:
  1. Add criteria to find anyone who you consider a donor in your previous period:
    • To consider any constituents who had revenue between certain dates: In the left column, highlight Revenue. In the middle column, drag Date into Include records where. Set this equal to your date range.
    • To consider any constituents who received recognition: In the left column, select Recognition Credits node. From the middle column, drag Effective Date to Include records where. Set this equal to your date range.
  2. Specify what type of revenue you'd like to consider when pulling this list of donors:
    • To find everyone who made a donation: In the left column expand Revenue and select Application Details. In the middle column, drag Application to Include records where. Set this equal to Donation. Note: If you'd like to get more specific with revenue, see our solution What query filters should I use to find contributed revenue
    • To find everyone who received recognition credit for a donation: In the left column, expand Recognition Credits and select Revenue Application. In the middle column, drag Application into Include records where. Set this to be equal to Donation.
  3. Click the Preview Results tab and note the number of records returned. This is the number of unique donors in this period
  4. Click the Set Save Options Tab
  5. Name your query and check the box to "Create a Selection" and the box to "Show this selection in query designer."
  6. Save and Close

Step #2: Create query to find donors in this period who also donated in the previous period
  1. Navigate to Analysis, then click on Information Library
  2. Click the drop down next to the query you created above and click Copy
  3. Within Include records where, double-click on the Date field (either Revenue\Date or Recognition Credits\Effective Date). Change this date to be the current period.
  4. To see how many of these donors also gave in the previous period: In the left column, expand the Selections Folder. From the middle column, drag the query you created above into Include records where. Set this to be Equal to Yes. Here is an example of how that might appear in Include Records Where:

  5. Click the Preview Results tab and note the number of records returned. This is the number of unique donors in this period.

Step #3: Divide the number of unique donors from this period by the number of donors from Query 1 and multiple by 100 to get your donor retention rate percentage.
  • For example, if Query 1 yielded 500 constituents and Query 2 yielded 200 constituents, your retention rate would be 40%.
